Qualio Pricing From $25,000 a Year and What Training Costs Without It
Qualio prints plans from $25,000 per year with unlimited read-and-train users. Here is what is in that number, when a QMS is the right buy, and what training alone costs on a corporate LMS.

Qualio prints one number on its pricing page: annual contracts with plans starting at $25,000 per year, a flat platform fee that moves with your plan, the compliance domains you carry, your sites and connected systems, and the number of licensed (edit) users. Basic users who only read documents and complete training are unlimited. If what you really need is to deliver and prove training, a corporate LMS costs a small fraction of that, and CompanyLMS Business is $7 per learner seat a month or $3.50 billed annually.
This is the cost question that comes before the demo. For the wider vendor table, see the best LMS for small medical device companies.
How much does Qualio cost?
Qualio is a quality management system built for life sciences, and its pricing page is more open than most in the category. We read it directly. What it states:
| Item | What Qualio prints |
|---|---|
| Contract | Annual contracts |
| Starting price | Plans start at $25,000 per year |
| What moves the number | Your plan, the compliance domains you carry, sites and connected systems, licensed users |
| Basic users (read and train) | Unlimited on the Foundation, Growth and Scale plans |
| Edit users included | Foundation 5, Growth 10, Scale 10+ |
That structure is sensible for a QMS. The people who write and approve controlled documents are few, and everyone else only needs to read and train. The price is for the quality system, not for the training screen.
What does Qualio's training cost per employee?
Qualio does not break out a per-employee training price, because training is one module inside the platform fee. If you divide the $25,000 starting fee across a company that trains 40, 80 or 150 people, you get a rough sense of scale, but it would be wrong to call that a training price. You are also paying for document control, quality events and supplier quality.
The honest comparison is between two different purchases:
| Team size | CompanyLMS Business billed annually at $3.50 | CompanyLMS billed monthly at $7 |
|---|---|---|
| 40 seats | $1,680 a year | $3,360 a year |
| 80 seats | $3,360 a year | $6,720 a year |
| 150 seats | $6,300 a year | $12,600 a year |
Those figures are our own arithmetic on published CompanyLMS rates (10-learner minimum). They cover training only. They do not replace a QMS, and the point of the table is to show how far apart the two purchases are, not to say one beats the other.
When is Qualio the right buy?
Buy a QMS when the thing you lack is the quality system itself. That usually means one of these:
- You have no controlled document system and an audit is coming.
- You need CAPA, change control, supplier quality and training in one validated workflow.
- Your regulator or notified body expects electronic signatures and a validation package.
- You want your training records tied directly to a document revision, so a new SOP version triggers retraining automatically.
In those cases $25,000 a year is the price of the category, and comparing it with an LMS is comparing different tools. Compare it with its real peers instead. MasterControl and Greenlight Guru both sell QMS suites, and when we read their pricing pages we found no dollar amount, so expect a quote.
When is an LMS enough?
An LMS is enough when your documents already live somewhere acceptable, such as a controlled folder or an existing QMS, and the gap is training delivery and proof. A small device maker with 40 to 150 people usually needs five things:
- Role-based onboarding that assigns the right SOP training on the hire date.
- A short quiz after each procedure so the record shows comprehension, not just a click.
- Certificates and refreshers with renewal intervals, so an annual GMP, gowning or safety course does not lapse unnoticed.
- A compliance board that shows who is current, due or overdue.
- A CSV export of dated completion records for an audit request.
CompanyLMS does exactly that. It does not do document control, CAPA, or validated electronic signatures, so if your quality lead says those are required inside the training record, you need the QMS.
Can you use both?
Yes, and it is common. The QMS owns the controlled procedure and its revision history. The LMS owns the delivery: the course built from the procedure, the quiz, the assignment by role and the renewal reminder. When the SOP is revised in the QMS, you assign the updated course in the LMS and keep the completion record. If your team reads long supplier agreements or regulatory PDFs while building those courses, a tool such as asking questions of a long PDF and getting answers with sources saves a lot of scrolling before you write the quiz.
Questions to ask before you sign a QMS contract
- Is training a separate module with its own price, or included in the platform fee?
- How many edit users are included, and what does each extra one cost?
- What happens to the price when you add a second site or a connected system?
- What is the renewal uplift after the first year?
- Can you export every training record in a format an auditor can open without the vendor?
The last question matters most for a small team. Records you cannot export are records you do not fully own.
Frequently asked questions
How much does Qualio cost?
Qualio prints that plans start at $25,000 per year on annual contracts. The price moves with your plan, the compliance domains you carry, the number of sites and connected systems, and licensed users. Basic users who only read and train are unlimited.
Is there a cheaper alternative to Qualio for training?
If you only need training delivery, quizzes, certificates and renewals, a corporate LMS does it for much less. TalentLMS publishes bands from $119 a month billed yearly, and CompanyLMS Business is $7 per learner seat a month or $3.50 billed annually. Neither replaces a QMS.
Does an LMS replace an eQMS for ISO 13485?
No. An LMS keeps training evidence, but an eQMS controls documents, CAPA and change. Many small manufacturers use a QMS or document tool for procedures and an LMS to train people on them. Check clause requirements with your regulatory lead.
If your gap is training rather than a full quality system, see the medical device LMS comparison or the CompanyLMS pricing page.
